Vacancy: Office Manager

Job Responsibilities:

  • Administrative Responsibilities:

- Facilitate different functions with full-swing administrative support backed by required supervisions to ensure on-time expected outcomes.

- Monitor, supervise and ensure proper incorporation of the safety measures and regular and urgent requirements like hygiene, stationeries, welfare etc.

- Develop and maintain up-to-date, effective security measures to protect the organization's properties and fixed assets.

- Maintain repository and records with a coordinated filling system to safeguard confidential finance claims.

- Establish the SLA for all service providers and suppliers.

- Monitor compliance and negotiate annual maintenance contracts with vendors.

  • Procurement Responsibilities:

- Prepare a Procurement plan and request process.

- Preparation of purchase proposals following and enforcing the company's procurement and purchasing policies and procedures and issuing purchase orders.

- Maintain and update supplier information such as qualifications, delivery times, product ranges, etc. and maintain good supplier relations, researching and evaluating prospective suppliers.

- Review, compare, analyze, and obtain approval for procuring products and services, identify potential vendors and perform effective cost-saving negotiations to maximize the best value for money while procuring activities and in line with the tax, vat, and bank policies and procedures.

- Manage inventories and maintain accurate purchase and pricing records.

- Proper management and efficient utilization of stores and maintaining a log sheet.

  • Communications and Customer Servicing Responsibilities:

- Maintain contacts with the stakeholders and partners, organize meetings and appointments, take meeting minutes and delegate as per requirement.

- Keep communications with the staff and relevant stakeholders (students, parents, school teachers, Principals etc.) and answer their queries.

- Coordinate and liaise with other parts of the Integrated Office and Agencies.

- Troubleshooting, attending to queries and providing required information

- Liaise with the British Council for customer-related issues.

- Provide result verification service.

- Carry out any other work assigned by the team members and global team.

  • Finance Related Responsibilities:

- Prepare a monthly office expense claim statement with supporting documents.

- Assist HR department on staff payroll service, AIT calculation, salary certificates, 108 returns.

- Prepare form-c and central bank permission documents and bank letters which are required to run a bank office account properly.

- Upload staff salary, vendors’ payment, and challan pay order to the HSBC net for approval.

- Ensure all rents, and staff insurance policy premium charges are paid promptly

- Prepare AIT and VAT challans against office expenses and staff salaries.

- Check and submit quarterly returns, 108 returns to legal advisor advice for submission.

- Prepare the payment vouchers for office assistant day-to-day conveyance and check their accuracy.

- Review monthly and quarterly expenditures and identify and highlight areas for further strengthening and support.

- Understand policies and regulations to run a liaison office.

  • RDMs Support:

- Support RDMs in monitoring and preparation of budget and also undertake all logistical, administrative, and financial arrangements in organising PR events like High Achievers Award ceremony, Principal network meetings, teachers training, PTE training, workshops, and seminars.

- Support iPLS, Academic, BTEC, and PTE Academic trainers and participants.

- Manage travel arrangements for RDMs, including travel requisitions and claims

- Assist RDMs in preparing documents.

- Coordinates and schedules meetings and other events

as directed, including training sessions and opportunities.

- Contact other offices (Hub, Team) regarding product support.

- Process plan and claims for onwards submission to Procurement and provide administrative support to the RDMs for events/ programs operations-related issues.

  • Digital Marketing:

- Content topic and calendar preparation

- Administer and create month-wise contents

- Preparing caption/creative whichever is required

for digital marketing (FB, Insta) (from 2016 to February 2021).

- Community management (24X7 response to the product

related queries).

- Communicate to the agency to provide post related

feedback.

  • Reporting:

- Prepare and update the report and receive all necessary stationeries from the store for programs.

- Prepare product-wise sales and collection reports for the regional team.

- Prepare monthly marketing report for the regional team.
